Controlled sharing preview
Share the selected record, not the private collection.
Choose up to 30 checkpoints from one inspection and review the public text. Download that sharing file, open the controlled publisher, and review it again before upload. Creation requires an operator-issued creator key; this is not open account registration.
Names are off by default
The selection includes site/date, checkpoint wording, recorded state, public observations, target dates and resolution notes. Inspector and responsible-person labels are optional. Internal notes, record IDs and photos are excluded. Public text can still identify people or places; review what you entered.
Read the selected count correctly
The snapshot shows how many checkpoints were selected out of the inspection total. Status counts and inspected coverage apply only to selected checkpoints. They do not establish that the full site inspection is complete.
A fixed snapshot with two different links
Anyone with the reader link can read the published snapshot until expiry or revocation. Keep the separate management link private: it can read and revoke access. It cannot edit the published text. Corrections require a newly reviewed snapshot; changing local inspection records never silently changes an earlier publication.
Retain management details
The publisher saves recovery details in this browser before sending a request. Keep a downloaded copy of its management links. If a response is lost, retry that pending request rather than creating another snapshot. A separate browser needs the management link to revoke access; the service cannot recover lost reader keys from their hashes.
Expiry and revocation
Snapshots expire 30 days after creation. Revocation immediately clears the active report and blocks fresh reads. Prior downloads, screenshots and provider recovery copies cannot be recalled. A small revocation receipt remains until the original expiry so uncertain requests can be retried. Expired report rows are removed during later creation requests; expiry blocks access even before cleanup. Used link hashes are retained without automatic deletion so old links cannot be reassigned. This separate hash-only list is limited to 5,000 publications over the lifetime of the controlled preview.
The controlled service allows at most 50 unexpired snapshot records, including revoked receipts. It is served on Cloudflare and can read published text; this is not end-to-end encryption. No email, invitation, delivery acknowledgment, safety certification or contractual acceptance is generated.
